This notice tells you what we will do with any personal data that you provide to us, why we have it and what your rights are. For Data Protection purposes we are known as the data controller of the personal data that we receive from you. We respect your privacy and we will only collect and process personal data in accordance with the data protection legislation.
Only the information that we need for the purpose of our charity. This may include: your name, address, email address, phone number.
In the case of supporters and donors, this information may also include donations and information which you have given us or which is available in the public domain to help us manage our relationships.
When you buy tickets online to visit Sandycombe Lodge or attend an event, Tyg Ltd. (who issue your tickets) and/or Zettle or Opayo (who process your payment) as applicable, collect the information that you supply. We do not have access to the credit card/debit card details that you supply but we do obtain your name and email address. Tyg, Zettle and Opayo each treat the information you supply in accordance with their own privacy policy.
If you make a donation for membership (such as our Friends or Circles membership) or purchase tickets for an event by credit/debit card or set up a Direct Debit via an online form hosted by Beacon, your payment details are collected by payment processing platforms Stripe or Go Cardless; Beacon, Stripe and Go Cardless each treat the information you supply in accordance with their own privacy policy.
If you make a purchase over the phone or in person at Turner's House itself by credit or debit card, then we are required to hold the physical card receipts from those payments for 13 months. These are held in a secure unit and then destroyed.
If you make a donation to us through The Big Give and consent for the Big Give to pass personal data to us then we will also collect and process that data.
We keep personal data in order to deal with queries and to contact our visitors and donors with news about our activities and events, including fundraising. Access to personal data is restricted to those who are working with us and who need it in order to perform their duties, and all of them are bound by confidentiality obligations. Personal Data relating to participants, donors and those who have requested to be on our mailing list is stored on Beacon (which is Turner's House Trust's Customer Relationship Management system) on a secure server in the cloud. So long as you have given consent, we also provide our contact database (customer names and email addresses) to Mailchimp who send emails on our behalf to our visitors, donors and other contacts. Mailchimp's server is in the USA and Mailchimp treats information about you in accordance with the provisions of its privacy policy.
We do not give any third-party access to personal data unless we are required to by law.
We may from time to time provide information of a general nature to third parties - for example, the number of individuals visiting Sandycombe Lodge, but we will not provide any information that could identify those individuals.
We have a secure data protection policy and system in place to ensure privacy and protect personal data. We regularly review and update our records.
We will only store your information as long as is necessary and we will then delete it. In the case of donors and visitors we need to keep details for a certain period of time under the UK tax laws and so will keep data for 7 years; and, if you have agreed to receive news about our activities and events, we will keep your contact details until you ask us to stop sending you messages. Of course, you will be free to opt out of receiving this at any time.
You have the right to ask us in writing for details of the personal data that we hold on you. You can also require us to rectify any errors or to delete your personal data. You can also tell us at any time to stop sending you communications by using the contact details below.
